The product, in detail
A control layer for the way you actually work.
Billingz turns scattered money events - invoices, expenses, and incoming/outgoing flows - into one clear operating picture. Here's how it works, screen by screen, in the real app.
Control screen
Position, movement, and what to do, in one place.
The Control screen is the home of the product. Every visit answers three questions in seconds: where do I stand, what changed, and what’s the next move.
Next Best Action
The single most useful move, surfaced at the top, with consequence language.
Cash + days safe
The headline number, always there. No charts. No noise.
Money Map
Balance, incoming, outgoing, net. The full picture, one glance away.
Three numbers
Overdue, Runway, Expected. Two seconds, full read.
Money Map
Your balance is not your position. Money Map shows the difference.
Four numbers. One sentence. The truest read of where your money actually is, and where it is going.
- Balance€4,200
Cash available right now, across your accounts. The starting point.
- Incoming€8,000
Expected from 2 open invoices. Money owed to you, not yet here.
- Outgoing€2,400
Monthly recurring costs. The pace at which your cash erodes.
- Net position+€9,800
Balance + expected − recurring. The truest read of where you stand.
SafeGuard
Decision engine, not a dashboard.
SafeGuard reads the same numbers you just saw and turns them into a verdict. It is the logic behind the Next Best Action on your Control screen: what is worth attention, and what to do about it.
Nothing overdue
€0 past due. Every sent invoice is inside its terms.
Two invoices to chase
€8,000 expected. SafeGuard drafts the reminders for you.
Recurring costs steady
€2,400 / month. No new subscriptions detected this month.
Runway is covered
52 days at the current burn, with the tax reserve already set aside.
Read from a single live scenario: €4,200 balance, €8,000 expected, €2,400 recurring out, nothing overdue.
Invoices
Pipeline. Journey. Paid.
Every invoice has a status, a journey, and a runway impact. The system shows what is open, what has been paid, and exactly what to chase next.
The document carries every field a compliant invoice needs: seller and bill-to blocks, line items, VAT handling, totals, amount in words, and full bank details with a SEPA QR. Ready to download as a PDF or send in one tap.
The document your client receives
VAT BG205512348
VAT BG203998741
Sample document. Company names, registration numbers, bank details and amounts are fictional.
Collections
Know exactly what to chase next.
One calm view of every invoice that needs follow-up, sorted into overdue, due soon, and what to send next. A clear operational read, not a debt-collection workflow.
Overdue, due soon, final. Three counts, so you see pressure at a glance.
Per-invoice status. Timing, last reminder, and the recommended next step.
Filter and act. Jump straight to what needs a nudge today.
Reminders
Friendly, firm, or final. Your call.
Each unpaid invoice gets a ready-to-send reminder in the right tone, and Billingz suggests which one fits the situation. Send it, copy it, or open it in your email, then it is logged in the reminder history.
A gentle nudge before the due date.
A clear follow-up once it is late.
The last word before escalation.

Expenses
Capture by photo, OCR, or import.
Every expense logged shows its impact on cash and runway immediately. VAT-aware categorization. Recurring detection. No accounting language.
VAT-aware
Inclusive/exclusive amounts, custom rates, country-specific rules.
Capture fast
Photo receipt, OCR scan, bank import, or quick manual entry.
Recurring
Detects patterns. Subscriptions surface in your monthly burn.
Impact-first
Every entry shows runway impact in days, not just euros.
Activity
Every move, in one feed.
Invoices sent, payments received, expenses logged, reminders sent - every event in the business lands in one running feed. Open it and you know what just happened, without reconstructing it from memory.
One timeline
Money in, money out, and what you sent, in order.
Filterable
Narrow to invoices, payments, or expenses in a tap.
Web app
Same clarity, full desktop workspace.
Billingz runs as a responsive web app. On a larger screen the layout opens into a full workspace - persistent navigation on the left, your Control surface and Money Map with more room to work.
FAQ
What it does, and what it doesn’t.
What does “you are safe for 52 days” actually calculate?
How long your current cash covers your monthly burn. Burn is what leaves your account each month, partly offset by money reliably coming in: unpaid invoices are heavily discounted, never counted in full, so hope does not inflate the number. It is a rule-based calculation from your own recorded data, recomputed as your numbers change. A signal about your position, not a prediction and not financial advice.
Does Billingz replace my accountant?
No, and it doesn't try to. Billingz is not accounting or bookkeeping software. It gives you the operational picture between accountant visits, and produces accountant-ready reports so those visits get shorter. Your accountant stays; the surprises go.
Where is my data stored?
In the European Union, on AWS in Frankfurt. Data is encrypted in transit and at rest, and card payments are processed by Stripe, so card details never touch Billingz systems. The full list of providers is public on our subprocessors page.
Do I need to understand VAT rules to send a compliant invoice?
You don't need to memorise field lists. Billingz gives you every field a country-compliant invoice needs and prompts for what your country requires: the rates and tax treatment are yours to choose, and responsibility for what you enter stays with you. Billingz does not connect to tax authorities. It processes your income and expenses, including invoices created elsewhere, and reporting to your tax institutions remains yours.
Guide: How to make an invoice that gets paidWhat happens in a month where I don't invoice anyone?
Nothing breaks and nothing punishes you. Your expenses, runway and signals keep working, and a quiet month is exactly when the “how long am I safe” answer matters most. On Free, the 3-invoice allowance simply resets next month.
Can I use Billingz outside the EU?
Yes. Billingz is built in the EU and EU rules come first, but invoicing works in every country where the product is released. North Macedonia, for example, is in from the start. Coverage grows with each release.
