FAQ

Questions, answered straight.

What Billingz does, what it deliberately does not do, and how the tiers and early access work. If your question is not here, ask us directly.

The product

What does “you are safe for 52 days” actually calculate?

How long your current cash covers your monthly burn. Burn is what leaves your account each month, partly offset by money reliably coming in: unpaid invoices are heavily discounted, never counted in full, so hope does not inflate the number. It is a rule-based calculation from your own recorded data, recomputed as your numbers change. A signal about your position, not a prediction and not financial advice.

Does Billingz replace my accountant?

No, and it doesn't try to. Billingz is not accounting or bookkeeping software. It gives you the operational picture between accountant visits, and produces accountant-ready reports so those visits get shorter. Your accountant stays; the surprises go.

Where is my data stored?

In the European Union, on AWS in Frankfurt. Data is encrypted in transit and at rest, and card payments are processed by Stripe, so card details never touch Billingz systems. The full list of providers is public on our subprocessors page.

Do I need to understand VAT rules to send a correct invoice?

You don't need to memorise field lists. Billingz gives you every field a country-compliant invoice needs and prompts for what your country requires: the rates and tax treatment are yours to choose, and responsibility for what you enter stays with you. Billingz does not connect to tax authorities. It processes your income and expenses, including invoices created elsewhere, and reporting to your tax institutions remains yours.

Guide: How to make an invoice that gets paid

What happens in a month where I don't invoice anyone?

Nothing breaks and nothing punishes you. Your expenses, runway and signals keep working, and a quiet month is exactly when the “how long am I safe” answer matters most. On Free, the 3-invoice allowance simply resets next month.

Can I use Billingz outside the EU?

Yes. Billingz is launching across 40 markets: every EU country, the UK, Switzerland, Norway, Iceland, the whole Western Balkans including North Macedonia, Moldova, Ukraine, and the United States. Each market gets documents in the local language and format, plus an international version in English for cross-border work. EU rules come first, and coverage deepens with each release.

Guide: Do EU freelancers charge VAT on cross-border invoices?

I'm a freelancer, not a company. Is Billingz for me?

Freelancers are exactly who Billingz is built for. When you start, you choose whether you work in your own name or through a company, and the documents follow: a sole professional's invoice carries your name and tax number, no company registry lines, and where your country applies withholding for individuals, the invoice shows it. You can switch to a company profile later without losing anything.

I'm not VAT registered. Can I still send invoices?

Yes. Tell Billingz you are not registered and your invoices simply carry no VAT: no rate column, no VAT total, no VAT number. Where your country requires a legal wording for that (Germany's small business rule, France's franchise note, and others), Billingz inserts the standard sentence for you, and you can edit it or turn it off. In countries where showing VAT while unregistered is an offence, the safest invoice is exactly the one Billingz produces: silent about VAT.

Will Billingz warn me before I have to register for VAT?

Yes, and this is where a control system earns its name. Billingz sees your invoiced turnover and knows your country's registration threshold, so as you approach it you get a signal: how close you are and what follows if you cross it. A signal about your position, not tax advice; the decision and the registration stay with you.

Can my clients pay by QR code or card link?

Both. Invoices carry a payment QR generated from your bank details, in the standard your client's banking app understands: the SEPA QR for euro transfers, and national standards where those lead, like Serbia's NBS IPS QR or Czechia's QR Platba. Prefer cards? Paste a payment link from Stripe, Revolut, PayPal or any provider and it prints beside your bank details, so the client chooses.

Does Billingz file my invoices with government e-invoicing systems?

Not today, and we say so plainly. In countries where invoices legally live in a government system (Italy, Serbia, Poland, and a growing list), Billingz is where you prepare the document and keep your numbers; issuing happens through the official channel. You can always import what you issued elsewhere, so your runway and signals stay complete. Direct connections are on the roadmap as mandates mature.

What is “Cash Clarity”?

Your bank balance is misleading. VAT, reserves, and committed amounts aren't yours to spend. Cash Clarity separates these so you see only your real free cash. Available from Control upward.

Is Billingz accounting software?

No. Billingz is not a full accounting or bookkeeping system. It's a SaaS for invoices, expenses, and operational visibility. It works alongside your accountant, not instead of one.

What happens to my data if I stop using Billingz?

Your content stays yours. You can export it, and you can request deletion at any time. After account deletion, product data is removed from production systems within 30 days and from backups within 90 days. The one exception is what the law requires us to keep: invoicing records are retained under Bulgarian accounting rules, then deleted. The full detail is in the Privacy Policy.

Is there a mobile app?

Yes. Billingz is being built for web and mobile from the start, with apps for both iOS and Android, and the same clarity everywhere. Send an invoice from your desk, check your runway from your pocket.

Pricing and tiers

Why four tiers, not one or two?

Because running a business has stages, and a single tier would either overwhelm a beginner or starve an operator. Each tier maps to a real outcome: Start → Operate → Understand → Anticipate.

What's the difference between Core and Control?

Core lets you operate - unlimited invoices, expenses, reminders, reports. Control lets you understand - Cash Clarity, runway, risk indicators. Core runs the business; Control explains it.

Do the prices include VAT?

No. All listed prices are net prices - VAT is not included. VAT is applied on top according to the rules of your country and your VAT status. Business customers with a valid VAT ID may fall under reverse charge, depending on jurisdiction.

Can I really start for free?

Yes. Free is meant for trying the workflow. 3 invoices a month is enough to feel the system. When activity grows, the path to Core is obvious.

Why is SafeGuard the most expensive?

Because it does work for you instead of just showing data. Auto VAT reserving, per-invoice risk scoring, and 30-day forecasting move from observation to anticipation.

Can I move between tiers?

Yes. Each tier inherits everything below it. Upgrade when activity grows or when you want more visibility; nothing breaks if you do.

Early access

When does Billingz launch?

When it is ready, and honestly not before. The MVP is in active development, and early access members get in first, shape what ships, and hear the date before anyone else.

Why do all CTAs lead to Early Access?

Because Billingz is still in private MVP development. Pretending public onboarding or live checkout already exists would be dishonest. Early access is the honest access layer for now.
