Invoicing and Compliance Disclaimer

Billingz® produces invoices and related documents from information you enter. This document explains what we provide, what we do not warrant, and where responsibility for the legal compliance of a document sits. It forms part of the Terms of Service and applies whenever you use the Service to create, issue, or send a document.

1. What Billingz provides

The Service provides document layouts, country templates, field presets, prompts, and calculations intended to assist you in producing invoices and related documents. These reflect our understanding of the applicable requirements at the time they were prepared.

They are a starting point. They are not legal advice, not tax advice, and not accounting advice, and they are not a certification that any document produced using them satisfies the requirements of any jurisdiction.

2. Compliance depends on the transaction, not the template

Whether an invoice is compliant depends on the specific supply, the parties, and the treatment that applies to it. The same layout may be correct for a domestic supply and incorrect for a cross-border one, which may require the recipient’s VAT identification number and a reverse charge notation. Exemptions, special schemes, the method of payment, and local requirements such as fiscalisation each change what a document must contain.

A template can be structurally complete. Only a completed document, issued for a specific transaction, can be compliant. You select the treatment and enter the content, so you determine whether the resulting document is correct.

3. Validation and checks are aids, not certifications

Where the Service validates information, including checking a VAT identification number against a public registry, verifying the format of a bank identifier, flagging gaps in document numbering, or indicating that required fields have been completed, those checks are provided for convenience only.

A check reflects the information available to us at the moment it was performed. Registry data may be incomplete, unavailable, or subsequently changed, and a counterparty’s status may change after a check is carried out.

Passing a check does not mean a document is compliant, does not constitute approval of a document, and does not transfer responsibility for it to Billingz. We give no warranty to that effect.

4. Country coverage

Where the Service offers a template, preset, or configuration for a particular country, this indicates that we have prepared material intended for use there. It is not a statement that a document produced from it satisfies that country’s requirements for a given transaction, nor that our material covers every requirement that may apply to you.

Requirements differ between jurisdictions and may include obligations that the Service does not address, including electronic invoicing, clearance or reporting regimes, fiscalisation, archiving, and language requirements.

5. Changes in law

Invoicing, tax, and reporting rules change, and may change after material has been prepared or after a document has been issued. We do not warrant that templates, presets, calculations, or guidance within the Service are current, and we are under no obligation to update them or to notify you of changes in law that affect you.

6. Your responsibilities

You are responsible for:

  • the accuracy and completeness of all information you enter, including party details, identification numbers, dates, descriptions, quantities, and amounts;
  • selecting the correct tax treatment, rate, and any exemption or special scheme that applies;
  • determining which particulars your jurisdiction and your counterparty’s jurisdiction require, and ensuring the document contains them;
  • meeting any electronic invoicing, reporting, clearance, fiscalisation, numbering, retention, and archiving obligations that apply to you;
  • reviewing each document before it is issued or sent; and
  • obtaining professional advice where you are uncertain.

Billingz is not your accountant, tax adviser, or legal adviser, and no part of the Service creates such a relationship.

7. Liability

To the fullest extent permitted by law, and without limiting the disclaimers and limitations in the Terms of Service, Billingz is not liable for any penalty, interest, surcharge, assessment, disallowed deduction or input tax credit, rejected or invalid document, delayed or withheld payment, or other loss arising from a document created, issued, or sent using the Service.

Nothing in this document excludes or limits liability that cannot lawfully be excluded or limited, including liability for death or personal injury caused by negligence, or for fraud. Where you are a consumer, your statutory rights are unaffected.
