What your AI assistant can and can't do in Billingz

Short answer

By default your assistant can only read. You tick more, and it then finalizes, sends and records when you confirm in the chat. It can never move money, change bank details or delete anything. What it can do follows your plan.

Confirming in the chat

In our tests, the assistant showed what would happen and asked first, and we said yes in the chat. Billingz cannot see your chat, so whether it asks first depends on the assistant and on the settings you chose in it. Check what it shows you before you confirm.

Ask me in Billingz

If you want the last word in Billingz, open Account, then Connected AI tools, and switch the connection to Ask me in Billingz. After that, every action that issues, sends, reminds or records waits under Needs you. It happens only when you approve it in Billingz. Drafts do not wait. A request you do not answer expires after 7 days.

A new connection starts in the chat, so use the switch if you want Billingz to hold every action. You can switch back at any time.

What it can do on each plan

  • Free. Read your position and runway, the money this month, who owes you, invoices, bills and costs, clients and suppliers. Prepare drafts of invoices, pro formas, reminders and costs. Add a client, a supplier or a cost. Finalize an invoice, within Free's allowance of 3 invoices a month.
  • Core adds sending an invoice, sending a reminder and recording a payment.
  • Control adds the profit and cash report.
  • SafeGuard adds signals, the cash forecast and putting a bill to pay under Needs you.

What it can never do

Billingz never moves money, and nothing in this connection does. Recording a payment you received only records it.

  • It can never change bank details, your company name, your VAT number or your invoice numbering.
  • It can never change security settings or your plan, delete anything, or invite people.
  • It never receives a bank account. Opening a bill to pay always waits for you in Billingz, where its payment details open. You pay in your own bank and mark it paid.

You do these in Billingz only. There is no way for it to do these. An account number sent in a request is refused and shown to you in Activity.

The daily limit

There is a limit of 50 finalizing, sending and reminding actions per connection per day. They count together. Past it, an action is refused. You carry on in Billingz, or the next day.

International invoices

For now, an invoice to a client abroad, or in another currency, is made in Billingz itself, where the VAT treatment and the currency are set for a client abroad. Your assistant can prepare it as a draft, and you finish it there.

Common questions

Can my assistant send an invoice on its own?

Not if your assistant asks you first. It shows you what goes to whom, and you confirm in the chat. If you told your assistant to always allow, it can send without asking. To keep the last word in Billingz, switch the connection to Ask me in Billingz.

Why did my assistant not make my invoice?

A client abroad, or an invoice in another currency, is made in Billingz itself for now. Your assistant can prepare it as a draft, and you finish it there. A country rule can also stop an invoice or show a warning, the same as when you make it by hand, and the message names what to fix. There is also a limit of 50 finalizing, sending and reminding actions per connection per day.

Does it cost extra?

No. There is no separate price. What your assistant can do follows your plan and your role.

How do I disconnect my assistant?

Open Account, then Connected AI tools, and choose Disconnect next to the connection. From that moment Billingz refuses every call from that assistant. Removing Billingz only inside the assistant does not close the connection on our side, so disconnect in Billingz as well.
